Senior Executive – Supply Chain, Warehouse & Logistics

Job Summary

We are looking for a proactive and detail-oriented Senior Executive – Supply Chain, Warehouse & Logistics to manage inventory, warehouse operations, procurement coordination, order fulfilment, dispatches, and transportation activities. The role involves ensuring the timely movement of products, maintaining accurate inventory records, coordinating with vendors and logistics partners, and supporting seamless delivery of company products.

The ideal candidate should have hands-on experience in supply chain coordination, warehouse management, inventory control, and logistics operations, preferably in the IT hardware, electronics, AV equipment, or EdTech industry.

Key Responsibilities
1. Supply Chain & Order Coordination

  • Coordinate with procurement, sales, project, and finance teams to ensure timely availability and delivery of products.
  • Track customer orders from order confirmation to dispatch and final delivery.
  • Coordinate with suppliers and vendors regarding product availability, delivery schedules, pending orders, and documentation.
  • Monitor supply chain activities and identify potential delays or operational bottlenecks.
  • Maintain records of purchase orders, delivery schedules, goods receipts, and order fulfilment status.

2. Warehouse & Inventory Management

  • Manage day-to-day warehouse operations, including receiving, inspection, storage, picking, packing, and dispatch of goods.
  • Maintain accurate stock records for IFPDs, IT hardware, AV equipment, accessories, and other inventory.
  • Ensure proper inward and outward stock entries and timely updating of inventory records in the ERP/system.
  • Conduct periodic physical stock verification and reconcile discrepancies with system records.
  • Monitor stock availability, ageing inventory, damaged goods, and slow-moving items.
  • Ensure appropriate storage, product identification, labelling, and safe handling of electronic equipment.
  • Coordinate the documentation and movement of goods between warehouse, office, vendor, and customer locations.

3. Logistics & Dispatch Management

  • Coordinate with transporters, courier companies, and third-party logistics partners for timely deliveries and pickups.
  • Arrange transportation based on delivery timelines, shipment size, product handling requirements, and cost considerations.
  • Prepare and verify delivery challans, invoices, e-way bills, packing lists, LR/GR documents, and other applicable dispatch documentation.
  • Track shipments and proactively follow up on delays, delivery exceptions, and proof of delivery.
  • Ensure products are packed securely to prevent transit damage, particularly for display panels and electronic equipment.
  • Coordinate reverse logistics, product returns, replacements, and movement of damaged or defective goods.
  • Maintain records of freight charges, transportation expenses, and delivery performance.

4. Documentation & Reporting

  • Maintain accurate records of inventory, stock transfers, goods received, dispatches, and deliveries.
  • Prepare regular reports on stock position, pending dispatches, inventory discrepancies, and logistics status.
  • Ensure proper documentation and traceability of all inward and outward material movements.
  • Coordinate with the accounts and finance teams for invoice verification, freight bills, and vendor-related documentation.
  • Support internal audits and ensure adherence to company policies and operational procedures.

5. Process Improvement & Coordination

  • Identify opportunities to improve warehouse efficiency, inventory accuracy, dispatch turnaround time, and logistics costs.
  • Follow established processes for inventory control, material handling, and warehouse safety.
  • Coordinate with internal stakeholders to resolve supply chain and delivery-related issues.
  • Ensure timely closure of operational queries and maintain effective communication with vendors, transporters, and internal teams.

Required Qualifications & Experience

  • Bachelor's degree in Supply Chain Management, Logistics, Operations, Commerce, or a related discipline. A relevant diploma may also be considered.
  • 4–6 years of hands-on experience in supply chain coordination, warehouse management, inventory control, logistics, or order fulfilment.
  • Practical experience managing warehouse inward/outward operations, stock reconciliation, and dispatch coordination.
  • Experience coordinating with vendors, transporters, courier partners, and internal business teams.
  • Working knowledge of inventory management systems, ERP software, and MS Excel.
  • Understanding of GST invoices, e-way bills, delivery challans, and transportation documentation.
  • Strong organisational skills, attention to detail, follow-up discipline, and problem-solving ability.
  • Ability to manage multiple shipments, orders, and operational priorities simultaneously.

Preferred Qualifications

  • Experience in IT hardware, electronics, Interactive Flat Panel Displays (IFPDs), AV equipment, commercial displays, or EdTech products.
  • Experience handling high-value, fragile, or bulky electronic equipment.
  • Familiarity with ERP platforms such as NetSuite, SAP, Oracle, or similar systems.
  • Knowledge of inventory ageing, stock reconciliation, freight cost control, and reverse logistics.
  • Experience coordinating multi-location deliveries and project-based dispatches.
